Terms & Conditions

These are the terms and conditions (“Terms and Conditions”) upon which we supply tickets and permit entry to The Winter Club.

1. DEFINITIONS

In these Terms and Conditions, the following definitions shall apply:

The Winter Club: The Winter Club, Union Square, Canary Wharf, London E22 3AA, or any part of it.

Event outside our control: Any act or event beyond our reasonable control, including without limitation epidemics of infectious diseases, war (whether declared or not), threat of war, strikes, lock‑outs or other industrial action by third parties, civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster, or failure of public or private telecommunications networks or impossibility of the use of railways, shipping, aircraft, motor transport or other means of public or private transport.

“Us” / “We” / “Our”: Urban Playground Holdings Ltd (Company Registration Number 04868397) registered in England and Wales, whose registered office address is Urban Playground, Waterfront House, Osier Dr, Annesley, Nottingham NG15 0DS.

Ticket: A valid ticket allowing the holder entry to The Winter Club or any of its areas (Ice Bar, Bierhaus or Le Chalet).

2. CONTACT THE WINTER CLUB

2.1 You can contact us by writing to hello@thewinterclub.london or The Winter Club, Union Square, Canary Wharf, London E22 3AA.

2.2 When contacting us, please provide as much information as possible regarding your booking.

3. BOOKINGS

3.1 These Terms apply whether you make a booking via our website, by email, post, telephone or in person.

3.2 Your booking is not accepted until we send a booking confirmation, at which point a contract exists between you and us.

3.3 We do not accept bookings from persons under 18 years of age.

3.4 Tickets are for personal use and cannot be exchanged, transferred or sold on for profit. Breach may result in cancellation without refund.

3.5 We may request identification to prevent fraud. Refusal to supply may result in cancellation.

3.6 Personal information will be processed in line with these Terms and our Privacy Policy.

3.7 You must notify us of any change to your contact details. Our preferred contact method is email.

3.8 We operate dynamic pricing. Ticket prices may vary and promotions may be offered at our discretion.

3.9 If a pricing error occurs, we will contact you to confirm whether you wish to proceed at the correct price.

3.10 If you book on behalf of others, you must ensure all members of your party are aware of and accept these Terms.

4. DELIVERY OF TICKETS

4.1 Tickets will be sent by email.

4.2 It is your responsibility to provide a valid email address.

4.3 Tickets must be shown digitally or printed on arrival. Each ticket includes a unique QR code for check‑in. No refunds are available if you fail to produce valid tickets.

4.4 Check tickets carefully on receipt and advise us of any errors promptly. Corrections may be subject to an administration fee.

5. CANCELLATION, CHANGES AND REFUNDS

5.1 Unless stated otherwise, all bookings are non‑refundable. This does not affect your statutory rights.

5.2 We reserve the right to vary opening dates or times and to close or cancel any part of The Winter Club for technical, health and safety or operational reasons, or for private functions.

5.3 You should check your booking status before travel. We cannot be held responsible for associated costs (e.g. travel or accommodation).

5.4 If we cancel or reschedule your booking, we will attempt to notify you via email (and phone where possible).

5.5 If we reschedule, you may exchange your ticket for a new date/time. Reschedule requests made within 24 hours of the original session may incur a £5 fee. If the new session is priced higher, the difference must be paid. Refunds are not available.

5.6 If we cancel a session and no suitable alternative is available, we may offer a refund (minus booking or transaction fees).

6. EVENTS OUTSIDE OUR CONTROL

We cannot accept liability or pay compensation where our ability to perform our contract is prevented or affected by an Event Outside Our Control.

7. ATTENDING THE WINTER CLUB

7.1 Admission is subject to these Terms and Conditions. Breach may result in refusal or removal without refund.

7.2 You must comply with reasonable instructions from our team or authorised contractors.

7.3 Health & Safety and security checks (including bag searches) may apply.

7.4 We reserve the right to refuse admission or remove any guest for drunken, abusive or anti‑social behaviour, or for possession of prohibited items or substances.

7.5 Guests attend at their own risk and should consider any personal medical conditions before entering the Ice Bar (temperature –10 °C). Warm coats will be provided.

7.6 The Bierhaus and Le Chalet are open to guests aged 18 and over. Guests under 18 must be accompanied by a responsible adult and may be refused entry to certain areas where alcohol is served.

7.7 Please arrive on time for your booked session. Late arrival may result in reduced session time or forfeiture without refund.

7.8 Proof of age may be required (passport, photo driving licence or PASS‑accredited card).

7.9 We operate CCTV for safety and security purposes. All belongings are brought at your own risk. We accept no liability for loss or damage to personal property.

7.10 Personal photography is permitted for private use only. Commercial or promotional use is prohibited without prior written consent. You agree that images taken within The Winter Club may be used by us or our partners for promotional purposes in any media in perpetuity.

7.11 Filming or photographing staff without authorisation is strictly prohibited.

7.12 Management reserves the right to refuse service of alcohol to any guest at its sole discretion.

7.13 Guests must not bring their own food or drink into the venue.

8. PRIVACY POLICY

9. GENERAL

9.1 These Terms and any contract between you and us are governed by English law and subject to the exclusive jurisdiction of the English courts.

9.2 No other person shall have rights to enforce these Terms under the Contracts (Rights of Third Parties) Act 1999.

9.3 We may amend these Terms from time to time; the version in force at the time of your booking will apply.

9.4 We accept no responsibility for loss or damage arising from your failure to comply with these Terms. This does not affect your statutory rights.

9.5 If any part of these Terms is held invalid or unenforceable, the remaining provisions shall remain in full force and effect.
